Board of Trustees Meeting Minutes
Tuesday, March 5th, 2024
- Meeting was called to order by Jenn Lee at 6:02pm. Open Meetings Act poster was pointed out on the west wall of the back room.
- Roll Call:
- Members Present: Sara Else (2027), Cara Simon (2027), Jenn Lee (2026), Kylee Hickman (2024)
- Members Absent: Amanda Schaal (2028)
- Library Employees Present: Director-Laurie VanAckeren
- Library Employee Absent: Lori Moseman, Roberta Kisling
- Guests or Public Items to discuss- Village Board Chairman, Bill Thorson, was in attendance to advise the Library Board of recent furnace issues. Fud & Tracy’s in Wahoo came out and was able to temporarily fix the problem. However, a long-term solution is needed. Bill left a quote from Fud should the Library Board vote to replace the furnace and/or entire HVAC unit. Thorson left the meeting at 6:11pm.

- February minutes reviewed.
- February Bills/Financial transactions reviewed.
- Lee moved to approve February Minutes, Bills, Financials, and Monthly reports, second by Simon. Motion carried. Unanimous approval. February reports approved.
- New Business/Director’s Report
- February stats were reviewed. Book clubs continue to be our most frequently attended events. Kids Valentine Craft also brought a small crowd.
- Upcoming Spring events to note:
- TWO Adult Book Clubs each month
- Patrick’s Day Party- Tuesday, March 12th
- Adult Spring Diamond Art Keychain Workshop- Monday, March 18th
- Easter Egg Hunt at the Park and Easter Craft at the Library- Saturday, March 23rd
- Zombie Prom (Grades 4-10)- Friday, May 3rd
- The library received a $980 Grant from the NE Library Commission to be used for Garden Improvement. The Grant is contingent upon receiving a 33% match from The Friends of the Mead Public Library. Laurie will request the match from The Friends.
- Board Member Reports
- Laurie presented the Annual Statistical Report to the Village Board at their regularly scheduled meeting last month.
- Board Member Felty addressed an issue with proper light on the Library’s US Flag. Lee will look into the purchase of a Solar Flagpole light to be installed.
- Laurie suggested coming up with a Name for our Adult Book Club. Will address any suggestions at next meeting.
- Overdue, Damaged, and Lost Materials, Finance, Document Retention and Destruction Policies were reviewed by the Board. Small grammatical changes were made. Motion to approve changes by Lee, Seconded by Else. Motion carried. Unanimous approval. Policies changes approved.
- The Library Board reviewed the proposal left by Fud & Tracy’s for a new furnace. According to Thorson, the units are close to 30 years old. Although there were no problems noted with the A/C unit, discussion was had around replacing both units due to their age and ease of installation at the same time, along with potential warranties that come with each. With The Library being a Village owned building, The Library Board will prepare a Proposal to the Village Board requesting the costs to replace the HVAC units be covered by the Village General Fund. Proposal will be presented at their monthly meeting on Tuesday, March 12th.
- Motion to write a Proposal to the Village Board to cover HVAC units by Hickman, Seconded by Simon. Motion carried. Unanimous approval. Proposal to Village Board approved.
